ActiveCollab has been around for a very long time, and has gone through a number of iterations and some major changes to how it is presented to us (the business owners and users that will utilize it to manage our projects and businesses) as well as to our end clients (our clients).

From activeCollab’s website:

activeCollab is a project management & collaboration tool that you can set up on your own server or local network. Work with your team, clients and contractors in an easy to use environment, while keeping full control over your data.

Now improved with Invoice and Source Modules.

ActiveCollab is different from many of the other software listed as it is ONLY available as a stand alone install, meaning you purchase a license, download and install on a server, and work on it yourself. This is good for a number of reasons, and may cause some concerns.

Why activeCollab’s license/install structure rocks:

  • No size limits – it’s running on YOUR server, you set the size limits
  • Full access – you have access to the entire code. If you know what you’re doing, or hire someone that can manipulate it for you, you can extend it in ANY way you want.
  • More privacy – depending on how you setup your install, you can ensure even more privacy and control than conventional SAAS (software as a service).

Why activeCollab’s license/install structure DOESN’T Rock

On the other hand there are some downfalls to this kind of situation

  • Technical – to install and get going you’ll need at least a little bit of technology knowledge and will actually have to take the time to install the software
  • No programming, no benefits – If you aren’t a programmer, or don’t know/have one, extending it may be difficult.
  • Not always available – Again, this depends on how you set your install up, but it may not be an always-on web application you can access from anywhere, unless you properly set it up to be one.
  • Expensive yearly upgrades – although this is offset by lack of a monthly fee, the yearly upgrades and support fees can add up.

ActiveCollab features many of the same services in other project management apps, including an additional invoicing feature that is very nice.
